Open House - Travel and Lodging Details
We are happy to provide hotel accommodations and meals during your visit for Open House. We hope to see you on campus this spring!
We will provide and pay for lodging at our area partner hotel for the Friday and Saturday nights of your Open House visit to Lexington. The online Open House registration form allows you to specify which nights you will require lodging (most opt to stay both Friday and Saturday nights, but Friday-only or Saturday-only stay is available). If you require a longer stay, please make the appropriate two-night selection as you complete Open House registration, and contact the hotel directly to make arrangements for the additional nights you require. You will be responsible for costs for the additional nights that you require hotel accommodation. You must request lodging through the Open House registration form if you wish to have it provided and paid for by the law school; requests for reimbursement for those choosing to stay at alternative hotels will not be met.
Any incidental charges over and above the cost of accommodations (telephone charges, late check-out fees, etc.) will be your responsibility; a credit card imprint will be required when you check in.
You may choose to share a room with another student attending Open House or to be assigned single accommodations - simply indicate your preference when you register. So that we extend the same hospitality to every student attending Open House, your travel reimbursement will be reduced by $100 for each night you require single accommodations.
Breakfast will be provided at your hotel each morning of your stay. We offer a welcome drop-in dessert reception Friday evening prior to the Open House, a Saturday lunch, and a closing hors d'ouvres reception as part of the Open House.
We reimburse all attending accepted students up to $500 for documented travel expenses. Please make your own arrangements for travel to Lexington, and keep your receipts for submission (together with the Reimbursement Request Form) after Open House. If you would like to request additional funds for travel expenses due to hardship, distance of travel, or other need, reach out to our office at 540.458.8503 or email@example.com.
Please note the following details and restrictions:
- Reimbursable travel expenses include airfare, rail fare, parking, taxi fare, uber, car rental charges, tolls, and gas. Meals and hotel stays are not reimbursable.
- Those requesting reimbursement for mileage for driving their own vehicle will be reimbursed at the university's rate of .375 per mile. Please note that you may not be reimbursed for mileage and also request reimbursement for gas receipts.
- Reimbursement is available only for travel to an Open House (not for visits on other dates) and attendance at Open House events is required to receive reimbursement.
- All reimbursement request forms, together with detailed receipts (showing proof of purchase and zero outstanding balances), must be received by April 15th. A reimbursement check will be mailed directly to you from the University's Business Office.
- As noted above, so that we provide the same hospitality to every student attending Open House, the travel reimbursement for those requesting a single room will be reduced by $100 for each night of their stay.
